Memorial Weekend Needs

CHAIR and CO-CHAIR Needed for Golf Tournament and Kick-Off Celebration

The Below Committees will Then Support and Report to the Event CHAIR and CO-CHAIR

1. Food and Drink:

  1. Contact restaurants for Kick-Off Celebration and Golf Tournament
  2. Point of contact for all communication regarding food and drink with vendors and with venues
  3. Follow-up with committed restaurants/drink vendors as event nears
  4. Communicate all pertinent information to restaurants/vendors
    i.e.  quantity, set up/drop off times and locations, necessary supplies

2. Donations for KOP Silent Auction and Golf Raffle:

  1. Secure auction and raffle donations
  2. Send tax receipts/thank you to donors in a timely manner
  3. Prepare items for auction/raffle
  4. Prepare bid sheets

3. Printing and Design:

  1. Create ‘Save the Date’ card and Flyers for Memorial Weekend events
  2. Point of contact for printing
  3. Maintain spreadsheet of sponsors to be included event banners
  4. Determine all signage needs (display, location, etc)

4. Public Relations:

  1. Deliver event flyers to area businesses
  2. List events in pertinent publications and social media
  3. Send out ‘Save the Date’ cards
  4. Thank all sponsors via publications and social media
  5. Update sponsors on website

5. Solicitation of Event Sponsors:

  1. Visit local establishments and make calls (to past contacts and to new contacts) to obtain event sponsorships and support

6. Volunteers:

  1. Secure and coordinate volunteers for each event
  2. Point of contact for all volunteer communication
  3. Direct volunteers the day-of each event

7. Golf Tournament:

  1. Secure items for golfer bags
  2. Order golfer gifts (whatever is decided on, shirt? hats?)
  3. Point of contact for golf course
  4. Communicate food/drink info to Food/Drink Committee
  5. Secure photographer
  6. Secure sound for after dinner
  7. Oversee golf registration process

8. Kick-Off Celebration:

  1. Point of contact for Gold Coast
  2. Secure tables and chairs
  3. Secure table center-pieces
  4. Communicate food/drink info to Food/Drink Committee
  5. Secure photographer
  6. Secure sound
  7. Entertainment
  8. Develop event layout
  9. Organize and oversee ticket sales
